We have a group scheduled for next week that I'd like to refund and cancel to open the days for a different group. How do I go about doing this (and providing them a refund)?

pch I am so sorry this post fell through the cracks! Shame on me...
The best way would be to go into the Booking Details page and either delete the booking, or better yet, click the "Convert To Booking Request" button. Converting to a Booking Request will take it off your calendar (freeing up the dates) but will still retain the information for posterity.
I realize I am very late in this response - my sincere apologies...

Thanks. Just started looking into this myself. I got as far as converting the booking to request. I also processed the refund manually. But, for bookkeeping purposes, I'm afraid to simply delete the payment details without recording the fact that this was refunded. Not sure if "deleting" the payment record will prompt me to record a refund, or if it will simply disappear.
My question is, how do I record the fact that a refund has been processed if not prompted by the system upon cancellation. Thanks, I'll keep looking for the answer in other threads as well.

Ricardo - by converting to a Booking Request, the booking amounts will not appear in the Bookerville reports.
If you have retained any portion of the amounts (cancellation fees, whatever), you will need to keep track of that outside of Bookerville, in a spreadsheet or file somewhere. The thinking is that this should be rare, but we are looking into ways to incorporate retained funds into the reports.
